Enhanced Stock Locations

Feature Overview

This feature was developed to allow stores with multiple branches to use KNAPS with a single login.

The stock locations module has two types of stock locations:

  1. Sale Locations

  2. Warehouses

Sale Locations refer to any location that can process a sale.

How It Works

Adding new sale locations is done by the tech support team.

Once the sale locations are set up, stores need to link each sale location to a till under the “Till Management” module.

An indicator next to the notification icon on the top right of the KNAPS screen shows users the sale location they are currently operating in.

Sales

Users must ensure that a till has been selected before performing any operations on a sale.

Once a sale has been saved, its associated sale location cannot be changed. If a sale is accidentally associated with the wrong sale location, users must void the sale and create a new one with the correct sale location.

Users can make payments on sales that belong to a sale location that is different from the user’s current sale location.

The address from the sale location is used when printing documents such as customer orders, invoices, and returns.

The Sale Search screen has a Sale location filter that is set to match the current sale location by default.

Deliveries

While it is possible to deliver individual lines on a sale from different locations, it is not possible to deliver a single line from different locations. In cases where a sale has multiples of the same product that need to be delivered from different locations, users must split the products across multiple lines and deliver each one separately.

In cases where a store wants to deliver stock that is at a different stock location, the selling store should communicate with the store that has the stock before proceeding with creating the delivery.

Auto-delivery has been disabled for sale locations for the time being.

Returns

Returned stock will be booked into the return location regardless of where it was delivered from.

The Return Search screen supports searching by sale location.

Purchase Orders

Purchase orders are registered against the main store entity and its OTB.

The stock location is used to set the delivery location when creating purchase orders (this also applies to goods receipts).

TBO lines use the sale location on the sale to set the delivery location on purchase orders. This means that separate purchase orders will be created for each sale location. Whenever a line is set as TBO, KNAPS will check if there is an open purchase order for the current sale location. If a suitable purchase order exists, a new line will be added to it. Otherwise, a new purchase order will be created.

The Purchase Order Search screen supports searching and exporting by stock location.

Stock Dashboard

The stock dashboard shows stock based on the current stock location by default. Users can change the stock location using the dropdown above the Stock Inventory section.

If stock is moved to another stock location, users can update the location in the Stock Lines table.

Reporting

The Sales and Salesperson reports support filtering by sale location.
