How to Set Minimum and Maximum Quantities for a Product

Follow these steps to set minimum and maximum quantities for a product:

Step1

To set minimum and maximum quantities, navigate to the Stock Dashboard screen. Click on Stock Dashboard under Stock Management.

Step2

Scroll down to the Stock Inventory section. In the Search Product Inventory field, enter or select the Product Code for which you want to set minimum and maximum quantities.

Once the product code is selected, the minimum and maximum quantity fields will appear on the right side of the screen

Step3

Enter the minimum and maximum inventory quantities you want to maintain for the selected product code, then click Save. .

How to Set Minimum and Maximum Quantities via Bulk Upload

You can also set minimum and maximum quantities for product codes using a bulk upload. To do this, follow the steps below:

Step1

Click the wrench icon located in the top-right corner of the minimum and maximum module.

Step2

Click on Update Stock Inventory.

The Stock Inventory Upload modal will open:

Click the Download Template button to download the CSV file template for entering product codes and their corresponding minimum and maximum quantities.

The CSV file headers are shown below

The following fields are compulsory:

product_code

distributor_name

brand_name

max_qty

min_qty

Step3

Before uploading the CSV file live to the system, you can check for errors by enabling Test Mode in the Stock Inventory Upload modal.

Step4

Upload the file in test mode and review the Success and Failure results to check for any errors

Step5

After a successful test upload, disable Test Mode and proceed to upload the file to the live system

Check the Success and Fail results on the modal:

Files that upload successfully will be added to the live system. Any failed uploads must be corrected and reuploaded

How to Generate Orders with the Stock Min Module

The Stock Min module is located above the minimum and maximum module on the Stock Dashboard screen

Follow the steps below to use the Stock Min module:

Step1

Enter the distributor name into the Distributor field:

The Stock Min module displays product codes that fall below their minimum stock levels for the selected distributor.

Take note of the 'To Generate' column, which indicates the quantity that needs to be ordered to reach the product’s minimum stock level

Step2

To generate orders up to the maximum quantity set for a product, select the 'Generate Stock Up to Max' checkbox in the module.

Step3

At the end of each product line, there is a checkbox. Select the checkbox for each product code you want to generate Purchase Orders for, or click the 'Select All' checkbox to generate Purchase Orders for all displayed product lines.

Step4

Click the +Generate Purchase Order button to create the Purchase Orders.

Step5

To confirm and finalise the generated purchase order(s), click the PO number shown in green. Review the PO and complete the confirmation following the standard procedure (see Purchase Orders).
