Stock On Hand Upload
Stock Dashboard screen
Step1. Navigate to the Stock Dashboard screen
In the main menu, under the Stock Management section, click on the Stock Dashboard menu item.

Step2. Stock Inventory Section
Navigate down to the Stock Inventory section on the Stock Dashboard screen, and click the wrench
icon on the far right.

Notice the following drop-down menu.

Step3. Upload Stock
Choose Upload Stock
and the following Upload Stock On Hand module will appear.

Step4. SOH CSV File
Download the CSV template file to be used for the Stock On Hand upload, by clicking the Download Template
button.
This CSV file shows the format in which the customer data needs to be uploaded into the system. Make sure to save the file in CSV format when completed.
Below are the column headers to be filled in the CSV file.
product_code – Enter the product code to be uploaded
brand_name – Enter the Brand name of the product
on_hand – Enter the quantity value (1, 2, 3, etc….) to be uploaded (remember, this quantity value will be added to the existing stock count for the product)
unit_cost – The unit cost for each product item (entered as Ex GST)
Step5. Stock Location
Choose the Stock Location

Step6. Stock Type
Choose the Stock Type

Step7. Faulty Status
Mark whether the stock you are uploading is faulty or not by ticking or unticking the Faulty
check-box.
Step8. Account Type
Choose whether you will be uploading Centrally managed (managed by HGS support office) or Individual (local) products, by ticking or unticking the Central Account check-box.
If you have ticked the Central Account check-box, then the products you are uploading are Centrally managed products. If the Central Account check-box is unticked, then you are uploading Individual (local) products.
Note: if you try to upload Centrally managed products, while the Central Account check-box is unticked, then the modal will fail the Centrally managed products upload. If you try to upload Individual (local) products, while the Central Account check-box is ticked, then the modal will fail the Individual products upload.
Step9. Upload Stock
Once the file is completed, and you have selected the correct settings on the Upload Stock modal, you are then ready to start the process of uploading your bulk Stock On Hand information to the system.
The Upload Stock modal has an option to choose Test mode before uploading the file live to the system.

Choosing Test mode allows you to test upload the file, and see any errors that may be on the file before uploading them live to the system. Upload errors
will be highlighted in Red and Upload successes
will be highlighted in Green.
Step10.
Click the Choose File
button to upload your CSV file. Then click Upload
.
Once the file has been successfully uploaded in Test mode without any errors, and is ready for Live upload, switch off the Test mode as shown below.

The modal will then be switched to Live upload mode.

Now your file is ready for upload Live to the system!
